Privacy Policy

How we handle and protect personal information in website browsing, inquiries and service communications.

1 Scope and responsibility

This policy explains personal-information handling during browsing, online inquiries and related contact on ASCWORLD’s public websites at ascworld.cn, ascworld.net and their www subdomains. ASCWORLD (Xi’an) Education Technology Co., Ltd. and ASCWORLD EDUCATION AND TRAVEL SERVICE LLC carry out the relevant business according to the service arrangement. You may contact the relevant company through the channels in this policy to ask about its handling of information or exercise your rights.

This policy describes initial inquiries. It does not automatically cover later school enrollment, visa applications or other processes requiring additional data. We will provide any necessary specific notices before those steps. Browsing alone does not constitute consent to processing unrelated to the service you request.

2 Information collected

The current form requires an inquiry category, name, phone number, email address, message and privacy-consent choice. Depending on your entry point, it may also include a school or camp reference and language. You can edit prefilled text. Your final message may include a session, travel dates, intended area of stay, duration or other needs you add. For school matching, an approximate area is preferable; an exact residential address is unnecessary.

The system also handles an inquiry reference, submission and update times, consent choice, originating site, digests used for duplicate prevention and retries, notification status, staff read status, and the content and sending records of replies associated with the inquiry. A source digest used to prevent abuse is recorded separately from the inquiry message.

Website and network services process technical information needed to deliver pages, receive requests and protect the service. Inquiry tables do not retain raw visitor IP addresses or browser User-Agent values. Abuse prevention uses a keyed digest of the source IP and timing records. Hosting, network and operating-system logs depend on their configurations. Staff-account, login and activity records support internal permissions, security and work records; they are distinct from public visitor profiling.

Do not include identity or passport details, passwords, bank accounts, health information or other sensitive data in an initial inquiry, or unnecessary information that directly identifies a child. If later services require such information, we will separately explain the purpose, scope, submission method and necessary authorization.

3 Purposes and handling

We use inquiry data to respond, understand your needs, find the options you ask about, arrange relevant contact and keep necessary handling records. Consent-based inquiry processing relies on your active selection and submission. Processing necessary for legal duties or entering or performing a contract must have the corresponding lawful basis. One inquiry does not authorize unrestricted marketing, applications to schools or public disclosure.

An accepted inquiry is saved in the inquiry system before a notification is arranged to the company’s internal notification mailbox for authorized staff. The notification includes that submission’s contact details, message, category, source reference and receipt information. The customer email, after format and safety checks, may be used as the reply address. These checks do not verify ownership of the mailbox.

A failed or uncertain notification does not delete the saved inquiry; staff can check it in the back office. Email delivery and staff reading are separate events. A website receipt does not guarantee staff have read the inquiry or promise a specific response time. Subsequent contact is limited to the matter you asked about.

4 Browser storage and website features

The inquiry-page code does not separately store your name, phone, email or message in browser local or session storage. To prevent duplicates and show a receipt, the tab temporarily keeps random submission and retry identifiers, a one-way content fingerprint and a receipt, normally expiring after 30 minutes. An expired-state marker may remain for the tab session to prevent an accidental new submission. This is not the retention period for the server-side inquiry.

The homepage and school and camp catalogues use browser session storage for display order, random ordering seeds or recently displayed item references to reduce repetition and maintain order. These functions do not use your inquiry to personalize prices or decide eligibility. Closing the tab or clearing site data may reset the order or remove access to a local receipt. Browser-managed form restoration and caching are separate settings.

The public website currently provides an inquiry form, without public account registration, online payment or application-document uploads. The current public pages do not configure advertising tracking or visitor-analytics scripts. If we add analytics, advertising or chat features that change personal-information handling, we will update the explanation first and provide applicable choices. Hosting, security and staff login can involve necessary technical records or cookies; this is not a claim that no technical records exist anywhere.

5 Access and storage

Authorized staff access information to handle inquiries, maintain systems or perform necessary duties. The infrastructure includes Alibaba Cloud hosting in mainland China and Tencent enterprise email, supporting the website, databases, backups and company notification emails. Providers process the necessary information under their service arrangements. This differs from a school or camp receiving inquiry materials for its own admissions purposes.

The inquiry database and deployment backups created for this system are on Alibaba Cloud in Shanghai. Online inquiry forms on the China and international websites submit to the inquiry service in mainland China. To respond to your inquiry, employees of the U.S. recipient, ASCWORLD EDUCATION AND TRAVEL SERVICE LLC, may access necessary information from the United States. A shared ASCWORLD brand or continued storage in China does not mean there is no cross-border disclosure.

The purpose is limited to checking the school, camp or service information you ask about, understanding your needs and replying to this inquiry. Relevant information may include the adult contact’s name, phone, email, category, language, school or camp reference, related plans, final message, inquiry reference and necessary reply records. Only the portion needed for the task is provided. An ordinary inquiry does not by default include identity documents, health or financial information, or identifiable children’s information. Access may occur through the staff back office or company email. The specific cross-border arrangements must be explained before processing as applicable. Ordinary inquiry permission is not unrestricted permission to access, download or forward all information.

You may contact the U.S. recipient at (312) 913-6868, or use 400-836-8861 or the WeChat channel on our Contact page to request access, correction, deletion, withdrawal of consent or other applicable rights concerning that recipient. Explain the request and include an inquiry reference if available. We will coordinate with the relevant company to review and handle the request under applicable requirements.

This cross-border access is subject to applicable notice, required separate consent, impact assessment and other legal requirements. This policy and the ordinary inquiry checkbox do not replace the procedures needed for a particular cross-border activity. Storage in China does not establish that Tencent mailboxes, mail clients or all copies are also in China, or that you have authorized cross-border access.

We do not sell inquiry information. Except where legally required, we will not provide inquiry materials to a school, camp or another independent third party using them for its own purposes without your authorization. Before any necessary disclosure, we will identify the recipient, purpose and data scope and obtain the applicable authorization. Overseas or sensitive-data disclosures require the relevant additional steps. Necessary infrastructure processing, such as Alibaba Cloud hosting and Tencent enterprise email, is explained separately in this section and is not covered by an authorization to provide application materials to a school or camp.

6 Children and sensitive information

The inquiry function is primarily for adults, parents and guardians. Use an adult contact’s details and describe needs without directly identifying a child where possible. The ordinary form does not request children’s identity documents, health or financial information, or detailed movements.

Before actually processing information about a child under fourteen or other specially protected data, we will implement the applicable specific rules, guardian consent, any required separate consent and other protections. An ordinary checkbox or a “parent or guardian” instruction is not a substitute. If we discover children’s or sensitive information supplied without necessary authorization, we will restrict unrelated use, investigate and delete it or take other required steps. Guardians may use the channels below to seek review, correction or deletion.

7 Retention and security

Retention is based on the shortest period necessary for the purpose and applicable legal requirements, taking account of whether the inquiry is resolved, whether you request further follow-up, subsequent service progress and necessary dispute handling. The current system does not automatically delete all inquiries after a uniform number of months. A failed notification does not directly delete a pending inquiry. Recoverable back-office trash does not permanently erase the original inquiry, replies, mailbox copies or backups. You may ask about retention or request deletion through the channels below.

When the purpose ends and no lawful retention basis remains, we will delete or irreversibly anonymize the information. Where legal retention or a temporary deletion difficulty applies, we will restrict processing as required and explain why. The 30-minute browser receipt period and staff-log periods are not inquiry-record retention periods.

We use access restrictions and safeguards appropriate to the information and risk. Electronic transmission and storage cannot be absolutely secure. We will take legally required remedial, reporting and notification steps for security incidents affecting individuals.

8 Choices and rights

You can browse without submitting a form, or inquire by phone or WeChat. Refusing processing unrelated to an inquiry does not prevent ordinary browsing. You can withdraw consent for consent-based processing; withdrawal generally does not affect earlier lawful processing.

Subject to applicable law, you may seek information about processing, access and copies, correction, deletion, restriction or objection and other applicable rights. Use the WeChat contact on our Contact page or call 400-836-8861 in mainland China or (312) 913-6868 in the U.S. and internationally. Say that you have a privacy request and explain what you need. Include an inquiry reference if available. Exercising a right does not require marketing consent or another ordinary business inquiry.

We will verify identity only as necessary and proportionately, and respond within applicable legal time limits. Do not send full identity documents with your first request. If deletion or withdrawal affects a service you want to continue, or legal retention, others’ rights or another restriction applies, we will explain the reason and effect and the applicable way to pursue the matter further.

9 External platforms and updates

When you choose to use WeChat, Xiaohongshu, telephone, email or another external service, that provider also handles information under its rules. Displaying contact methods does not give us access to your contacts, photo library or other applications.

Updates will show a date. Material changes to purposes, methods, data categories or other important matters will receive the required notice and authorization. Continued browsing is not blanket consent to new processing. Both language versions are intended to convey the same meaning. Contact us through the channels above with questions.
